Your use of website and payment for tour packages (tailor made and readymade) represents your acknowledgement and acceptance of these terms and conditions. Bit of Vacation will be happy to clarify any queries you may have.
ACCOMMODATIONS: There are Single occupancy rooms, Double occupancy rooms and Triple occupancy rooms available in most of the hotels. Triple occupancy rooms can sometimes be arranged depending on the availability. Usually an extra bed or roll-away bed or mattress is added to a regular twin-bedded room to make a room eligible for triple occupants. Such accommodation is not recommended for three adults in base category rooms. There is a little more charge applicable for third bed. Hotels are subject to change at any time depending on emergency situation. Substitutions, if any, are similar class to listed hotels. Hotel ratings as per local governments or local standards, which are sometimes, lower than the global standards.
MEALS: Breakfast will be included in all tours. In some programmes breakfast, lunch and dinner will be included due to some factors. Additional items, beverages or refills may be purchased from the waiter. No meal will be provided while on train or during transit. They can be purchased by each passenger on the spots, whenever available. Voluntary non-usage of meals or meals coupons are non refundable and non exchangeable.
TOURS: Due to occasional flight delays, weather conditions or other unforeseen situations, it might not be possible to include some sightseeing tours as scheduled. Cultural shows and other performances may not be available during holidays. If it becomes necessary to change the means of transportation or any other service, or for the tour to be prolonged through circumstances beyond the control of the ground operator, such as weather, acts of God, dangers, incidents at sea, fire, break down in machinery or equipment, acts of government or authorities and wars under local condition, any additional tour cost must be borne by the passenger and is payable immediately.
TRAVEL DOCUMENTS/VISAS: It is the responsibility of each traveller to possess a passports with a six-month validity AFTER the date of return are required for all tour participants. Passports must have four (4) blank pages for visa. Visas are required for visiting India, Nepal and Bhutan. India provides visa on arrival service to some countries. To avoid a long queue for visa on arrival at airport, we suggest to procure a visa before you commence your journey.
BAGGAGE: Baggage allowance differs for different regions. Usually airlines allow two pieces of checked baggage. Maximum weight/size for each piece is 55 lbs/62 inches (sum of three dimensions). One carry-on not to exceed 45 inches (sum of three dimensions) is allowed. Baggage allowance within India, Nepal and Bhutan not to exceed 44 lbs (20 kg) per person, plus a carry-on. Baggage in excess of one piece per person will result in excess baggage fees to be paid immediately upon demand. Baggage allowance are subject to change, please contact each airline on your itinerary for specifics.
DOCUMENT DELIVERY: All travel documents will not be mailed out until full payment has been received. Usually we provide original travel documents on arrival in India. We can send electronic copy of travel documents before you arrive in India.
HEALTH: In general, tours are quite active and require a good deal of walking, and may require frequently including stairs in some regions. We strongly recommend that you discuss any health concerns regarding these points with your personal physician before you confirm the trip. You are required to notify Bit of Vacation, in writing, prior to the time of booking of any physical disability or medical condition which may require any special assistance during the tour. Please note that for the physically challenged, access to some facilities may not be available at the same standard as in the U.S. and Europe. Bit of Vacation tour guides, local handling agencies and their designees reserve the right to exclude passengers from participating in tours if, in their sole discretion, they believe that the tour may be challenging to the passenger or could detract from the full enjoyment of the other tour participants. Currently, vaccinations are not required. As health requirements change without notice, please check with your personal physician or public health service for current required or recommended inoculations.
TERMS AND CONDITIONS
HOW TO MAKE RESERVATION: Customers availing the services of Bit of Vacation are requested to fill all necessary fields given in the Reservation Form on the website and submit the same to send to our Tours Department. Should the customer need immediate assistance, may get in touch with us directly through our e-mail firstname.lastname@example.org given on the website. Our travel experts will ensure earliest possible reply to your query with the best of the available information. Bit of Vacation reserve the right to not to accept any booking order without assigning any reason thereof.
HOTEL CHECK IN / CHECK OUT POLICY: Most of the hotels in India offer 1400 hrs check in and 1200 hrs check out facility. Complementary ‘Early Check-In’ OR ‘Late Check Out’ required by any customers is always subject to the approval of the respective hotel(s) based on the availability of the room at the time of arrival/departure of the guest. For such facility a written request is to be sent to our file handling executive enabling him / her to check the possibilities with the hotel/s for the same. Bit of Vacation and any of its representatives, do not guarantee early check in / late check out without approval from the hotel.
PAYMENT TERMS: To hold the booking on definite basis a token advance payment will be required by us (the amount will be decided by the executive during the course of correspondence based on the availability with the hotels and other services requested by the customer). As a policy of the Company full invoiced amount will be collected in advance from the customer before their arrival in India OR before the start of the services OR as negotiated by them with our office. The balance payments can be paid later as per the time limit negotiated by the customer with our staff while proceeding with reservation with us. In exceptional cases such as Luxury Train Bookings, Hotel or Tour Package bookings during festive dates and peak period, full payment will be required in advance as per the policy of the hotels in India, as to avoid any cancellation charges on us in case of sudden cancellation by the customer OR no-show.
MODE OF PAYMENT:
(1) Swift Bank Transfer : You can send the money to us through Swift Bank Transfer System. In such cases a copy of bank activity report (Telegraphic Transfer Report) may kindly be faxed / e-mailed to us for our file records and further follow up with our banker. Customers are requested to be sure that the money must be remitted to our bank account at least 45 days prior to the delivery of the services until any flexibility authorized by Bit of Vacation otherwise, during the course of correspondence. While transferring the money to us kindly ensure that all bank service charges are included in the payments since the same are to be bared by the party transferring the money to us.
(2.) Online Credit Card Payment : Our customers may also use our Secure Online Payments Gateway. In such cases the Bank service charges @ 2.5% for online transaction will be paid extra by the customer, over and above the transaction value. We accept Visa and Master Card for all online payments. As per the latest directions received from Visa and Master Card companies, to prevent the fraudulent cases, incase required, Bit of Vacation retains the right to ask the customer to fill a “Payment Authorisation Form” and a copy of passport of the Credit Card holder OR front copy of the credit card, for the purpose of checking authentication of the transaction and security of the payments. The customer is also aware that the payment is refundable ‘only’ as per the cancellation policy of the Company.
PAYMENT RECEIPT: A copy of the invoice OR payment receipt will be sent to the customer through e-mail or fax after final confirmation and payment process and the original copy of the same will be given to the customer along with other original travel service vouchers upon arrival in India. A copy of all service vouchers (air/train tickets, hotels and transport vouchers etc) will also be forwarded to the respective hotels and other service providers by our file handling executive for further tour arrangements.
AMENDMENTS / EXTENSION OF STAY: After finalizing the tour services, in case of any amendment in the bookings requested by the customer, our confirmation will be subject to availability of the desired service. Customers are kindly requested to contact our office in Delhi for any amendments / extension to avail the benefits of our offers. Bit of Vacation its staff and representatives take no liability for any additional expense(s) incurred due to such amendments requested by the customer. The additional expenses (if any) will be informed to the customer by the Company (Bit of Vacation) representative during the course of correspondence and the amendments will be made only after the acceptance / confirmation from the customer on additional payments, if any.
TOUR PRICE AND SPECIAL OFFER PRICE: Tour cost mentioned in the website is based on number of days and minimum inclusion in the tour package. The tour cost may vary from actual booking price depending on various elements and inclusions in tour package. Offer price is the minimum price depending on number of travelers mentioned in detailed tour package.
CANCELLATION AND REFUNDS: Cancellation for any booking should be requested to our Office (under copy to the staff corresponding with the customer) through our e-mail email@example.com at least 45 days prior to the date of arrival in case of Individual trip and 60 days prior to the date of arrival in case of Group booking (or as per the policy of the hotel, for any specific period). As per the rule in India all payment refund will be made in Indian Rupees only, as per the conversation rate prevailing at the time of refund. The following cancellation charges will levy.

Above cancellation policy is prevalent in Indian market. We do our best to refund our clients as much as possible (definitely more than whatever stated above).
LIABILITIES: Bit of Vacation and all its representative are committed to provide the best of the services and information to every customer. While offering any travel related service to the customer, we endeavour to ensure that all the information given by us on our website or through any other source or provided by our representative, are complete and accurate to our knowledge. We neither guarantee nor take any responsibility for the accuracy and completeness of the information provided on our website or by the staff/representative of Bit of Vacation, during the course of correspondence with the customer. We also do not take the responsibility for any complaint/ dispute between the customer and any hotel. The customers are requested and required to check the details of the hotel(s) and other services through our staff before finalizing the reservations through us.
If the customer is not satisfied and wish to make a complaint (during or after the completion of the journey) about the hotel, transport, guide, air travel, train journey or any part of the services rendered through Bit of Vacation, we request our customer to send us a written note in detail through e-mail as to enable us forward the same to the concerned authority/authorized person for their / his/ her clarification and further action on the same. Being a Tour Operator, we will act fast and at the highest professional level to solve the problem with the customer but Bit of Vacation and any of its representative does not take any responsibility for any compensation or refund due to any complaint made by the customer during or after the fulfilment of the services. Bit of Vacation and its representatives also do not take the responsibility for any dispute between the client and the hotel(s). Any additional expenses incurred during the fulfilment of the services, due to any unforeseen circumstances such as political closure, strikes, natural hazard, technical failure, flight or train delay / cancellation, sickness or any other unforeseen circumstances beyond our control, will be paid by the customer. Any additional tax introduced by the State / Central Govt. or any other concerned authority OR any hike in diesel / petrol rate, museum / monument entry tickets, guide fee etc. incurred during the course of fulfilment of the tour, will be charged to the customer accordingly.
We do not take any responsibility for any loss, injury or damage to person(s) or his/her/their property due to any natural reasons, accident, technical fault, strikes, riots, thefts, wars situation, civil disturbances, or any other reasons beyond our control.
